Exhibitor Registration

Exhibit Rates 

$1,100- Floor Display (8 ft. x 8 ft. space to display materials plus 3 registrations*)
$900 – Tabletop (all materials are to be displayed on 6 ft. table plus 2 registrations*)

All exhibition spaces include:

  • a 6 ft. table, 2 chairs, wastebasket, plus a tent card identification sign
  • Free listings in the 2025 Meeting Publications and Mobile App/Event Website
  • Unlimited exhibit area passes for prospects
  • *Complimentary exhibitor registrations for your representatives

The following will incur additional fees:
Additional furniture, labor, internet, and electricity. (Please note: all exhibitors are responsible for ordering these services for their booth)

Electricity: Exhibitors may purchase electricity (one standard 110-volt outlet) at the rate of $30 per day plus fees ($156.31 total) when submitting your exhibitor application. Additional electricity requests must be made directly with the hotel and may incur a higher rate for services.

Meeting and hotel Guidelines

The Hilton Norfolk The Main will be the site of the 2025 In Vitro Biology Meeting (Hotel). Guests booking their hotel rooms as part of the SIVB room block will receive complimentary in-room Wi-Fi internet.

Cancellations

Exhibitors requesting cancellation four months prior to the start of the exposition (February 7, 2025) will receive a full refund; later cancellations will be refunded at 25% of the full rental fee. If, for any reason, management finds it necessary to cancel the exposition, it is agreed by the exhibitors that each will pay a proportioned share of the direct expenses incurred by management in connection with the exhibit.

#If you are sending a deposit, the balance of the exhibit fee will be due by April 5, 2025. SIVB reserves the right to cancel exhibit space without refunding the deposit if the balance is not paid by this deadline.

Liability and Insurance

The exhibitor assumes all responsibility for any and all loss, theft, or damage to exhibitor’s displays, equipment and/or property while on the Hilton Norfolk The Main’s premises and hereby waives any claim or demand it may have against the Hilton or SIVB arising from such loss, theft, or damage.

Shipping and Services

Information on shipping, how to order services, and storage will be sent to you after acceptance of your tabletop or floor display application.

Hotel Guidelines

You as the Exhibitor hereby assume entire responsibility and hereby agree to protect, defend, indemnify and save Hotel, its owners, its operator, and each of their respective parents, subsidiaries, affiliates, employees, officers, directors, and agents harmless against all claims, losses or damages to persons or property, governmental charges or fines and attorney’s fees arising out of or caused by the exhibitor’s installation, removal, maintenance, occupancy or use of the exhibition premises or a part thereof, excluding any such liability caused by the sole gross negligence of Hotel and its employees and agents.

 

Decorations, Designs and Displays

Banners, posters, props and similar decorations may not be adhered to walls, ceilings, windows, doors or floors of your exhibition space, without the express written consent of Hotel and SIVB with supervision of Hotel’s staff. There is a $50.00 labor charge for hanging each banner or sign. Any costs to repair or clean Hotel property as a result of self-installations will be the responsibility of the exhibitor.

Meeting Recording Policy

Photographs, video, and live streaming may occur during this conference for social media and other event publicity purposes. Your registration and/or participation in the meeting indicates your consent to be photographed and grants the Society for In Vitro Biology the right to copy, distribute, and/or exhibit name(s) and/or picture(s) of you.
